About the Role
We are seeking a Transport Invoicing Specialist (Contract Role) to support our finance and operations team for a leading Australian refrigerated transport and logistics company. This role is responsible for ensuring the accurate and timely billing of completed transport jobs by validating all supporting documents, such as Bills of Lading (BOL) and Proof of Delivery (POD) and applying the correct freight charges.


The ideal candidate has hands-on experience in logistics or freight invoicing, demonstrates a high level of accuracy, and thrives in a fast-paced, detail-driven environment.

Key Responsibilities

  • Review daily job manifests and confirm completed deliveries in the Transport Management System (TMS).
  • Verify shipment details using Bills of Lading (BOL), Proof of Delivery (POD), and consignment notes before creating invoices.
  • Apply correct freight, fuel levy, and accessorial charges based on customer rate cards or contracts.
  • Ensure pickup/delivery details, load type, and service codes align with customer requirements.
  • Match delivery dockets and driver sheets to transport system data for accuracy.
  • Scan, organize, and store BOL and POD documents for billing and audit purposes.
  • Identify and correct billing discrepancies, issuing credit or adjustment notes as necessary.
  • Coordinate with operations and customer service teams to resolve documentation or rate queries.
  • Maintain and update rate cards and billing instructions in the invoicing system.
  • Support ongoing improvements to enhance the accuracy and efficiency of the invoicing process.

Qualifications
  • Bachelor’s degree in accounting, Finance, or a related field.
  • Minimum 2 years of experience in transport, logistics, or freight invoicing.
  • Knowledge of Bills of Lading (BOL), PODs, and transport documentation is essential.
  • Familiarity with Transport Management Systems (TMS) and invoicing platforms such as Xero, MYOB, QuickBooks, or NetSuite.
  • Excellent attention to detail and data accuracy.
  • Strong written and verbal English communication skills.
  • Ability to work remotely with minimal supervision.
  • Willingness to work during Australian Eastern Standard Time (AEST) business hours.
